Evidence rules for Companies House data
Effective 7 October 2026.
The rules CompanyGuard follows when it reads Companies House, raises an action and closes a case. They exist so that a gap in the data is never shown as good news.
Contents
1.What is checked
- Sources
- Each check reads the company profile, filing history, officers and persons with significant control (PSCs) from the public Companies House service.
- Request limit
- One check makes at most 16 requests: one for the profile and up to 5 pages of 100 items for each of the three lists. A longer list is kept as partial.
- How often
- An active company in a practice with monitoring access is checked again once its last check is more than 24 hours old. Paused and archived companies are not checked.
2.Deadlines
- Urgent
- An accounts or confirmation statement deadline that is overdue or due today.
- Upcoming
- A deadline due within the next 30 days.
- Nearest first
- Only the nearest deadline sets a company's state.
- Stale evidence
- Evidence older than 48 hours is not used. The company is shown as unavailable, never as healthy, until a newer check succeeds.
3.Changes
- Supported changes
- Company status, registered office, accounts due date, confirmation statement due date, new filings, officers and PSCs added or removed, officer resignations, PSC cessations and changes to a PSC's nature of control. Other fields are not monitored.
- Complete lists only
- A list is compared with the previous one only when every page was read. A partial or failed read never counts as a removal.
- No duplicates
- Repeated identical checks do not raise the same change twice, and a failed check is recorded as a source problem, not as a change.
4.Identity evidence
- Verified
- Shown only when Companies House states an identity verification date or a supplied verification statement for the officer or PSC.
- Action due
- Shown when Companies House states a verification statement is due.
- UNKNOWN
- Everything else: a missing field, a list that was not read in full, or dates that do not settle the question. UNKNOWN is never turned into a conclusion.
5.Closing cases
- Verified closed
- A case closes as verified only when newer evidence meets its rule: a later due date for a deadline case, a recovered source for a source case, or newer verified identity evidence for an officer or PSC case.
- Other changes
- Other material changes cannot be closed as verified automatically. Your team records the decision and its reason.
- Reviewed and dismissed
- Reviewing an inbox item or dismissing a case is a decision, not proof. Neither counts as verified.
- Reopening
- When later evidence conflicts with a verified closure, the case reopens. Earlier decisions and verification attempts stay in its history.
6.Records and notifications
- Dossier
- Each case has a print-friendly HTML dossier with source links, owners, decisions and verification history. Opening it does not prove a PDF was saved.
- Archive
- Archiving a company frees plan capacity and keeps its history. It is not deletion and does not close its cases.
- Notifications
- Email and browser notifications depend on each recipient's settings. SMS is currently disabled.
Questions
Questions about the evidence
- What counts as a verified closed case?
- A case awaiting verification closes only when newer supported Companies House evidence satisfies its rule: a later matching filing due date, recovered source or verified officer/PSC identity evidence. Missing, stale or unsupported evidence remains UNKNOWN. Reviewed and dismissed are separate decisions; conflicting later verification reopens a verified closed case.
- What is a case dossier?
- A dossier is print-friendly HTML with source links, ownership, decisions and verification history. It is not a generated PDF, and a served page does not prove a saved download.
- How does CompanyGuard show its evidence?
- Each result includes the Companies House source, retrieval time and source health. Missing identity-verification evidence is shown as UNKNOWN rather than inferred.
